Weather, External Conditions, and Cancellations
Regardless of weather conditions (unless for safety reasons), players and coaches must be on the field at the scheduled time, ready to play. The Tournament Director has the authority to reduce the length of matches due to weather conditions before the start of a match; all such matches will be considered official. The Tournament Director may also reschedule (time and location) a match before it begins. Only referees or the Site Director can suspend a match already started due to weather conditions. All matches that reach halftime will be considered final per the Tournament Director. i.e. 1 second into 2nd half and the home team leads 1:0, lighting strikes, game is considered over.
Severe Weather in Area:
- Should a storm begin to threaten the event, state-of-the-art radar will be used to determine the distance of the storm and any strikes of lightning that may be within a 10-mile radius.
- Should there be a lightning strike within said 10-mile radius, games will be temporarily stopped and teams must return to their cars.
- A “Waiting Time” of 30 minutes without a strike of lightning must be observed before the teams can safely return to the facility.
- If the “Waiting Time” exceeds 60 minutes, games will be ended at their time of stoppage if more than 60% of the game has been completed.
- If less than 60% of the game has been completed, the Tournament Director has authority to reschedule the game to a new time or cancel the game and award points based on a points averaging scale.
Cancellation Refund Agreement:
- For a tournament in progress (dates of planned event), in the event of rain, snow or acts of God, the tournament director reserves the right to reduce game times and numbers of games.
- Refund Structure is as follows:
- 100% refund – if the tournament is canceled in its entirety due to COVID-19.
- 80% refund – if the event is canceled entirely due to weather, or any other external forces.
- 60% refund – If only 1 game is played of the 3 guaranteed games.
- 30% refund – If only 2 games are played of the 3 guaranteed games.
- No refund is given if:
- A team withdraws within 30 days prior to the tournament.
- a team decides to forfeit a game, giving them less than the guaranteed minimum of played games.
- The team withdraws to play in another tournament.
Colorado Air Quality Monitoring:
- Due to the danger of forest fires, referee assignors on site will monitor the air pollution levels if necessary.
- Should levels rise to 125, referees will instill water breaks and staff will actively monitor the Air Quality situation.
- Should levels rise to 150 or higher, games may be shortened by up to 10 minutes per half.
- Should levels rise to 200 or higher, games will be canceled on the spot and attempted to be rescheduled.

Roster Rules & Required Forms
We understand that many teams attending our soccer tournament may be doing so for the first time. To ensure all teams have clear instructions and all the help they need, we have outlined all roster and document requirements in this section. Any questions that may not be answered in this section can be found in our Rules & Regulations.
Team Roster Requirements
- All teams and players are to register by Calendar Year.
- Example: For the Spring 2024 season, a 2011 birth year = U13
- Competitive Teams: All are required to build a roster within GotSport’s Roster Builder.
- Recreational Teams: All are required to upload a club-verified PDF roster into GotSport.
Medical Release Form
Medical Release Form (USYS) – Click Here
- All competitive teams must have proof of medical release forms for all players in PDF form.
- All non-Rapids Youth Soccer teams MUST upload them as one PDF document into Got Sport.
- All Rapids Youth Soccer teams DO NOT need to upload forms as we already have them on file.
- How to upload my PDF forms into GotSport – Video Tutorial
Guest Player Rules & Forms
Guest Player Form (CRYSC Tournaments) – Click Here
- All rosters must be 70% or more of a team’s original roster.
- No more than 30% of a roster can be guest players for the age group’s Roster Max (Find in Rules & Regs).
- For example: For U13-U19 teams, the roster max is 19. So 19 x .3 = 5.7, thus rounding up to 6 MAX guest players allowed.
- Certain circumstances can be approved based on requests to tournament staff.

Refund Policy
We understand that circumstances may arise that could prevent participants from attending our soccer tournament. To ensure clarity and fairness, we have established a refund policy. The following processes will be followed regarding any refunds and which circumstances allow for refunds:
Team Withdrawl
Teams withdrawing from the tournament BEFORE the registration deadline will receive a 100% refund of their registration fees. If a team withdraws from the event AFTER tournament brackets have been released, they will not receive a refund.
Weather-Related Refund Policy
- 80% refund – The event is canceled entirely due to weather or any other external forces.
- 60% refund – If only 1 game is played of the 3 guaranteed games.
- 30% refund – If only 2 games are played of the 3 guaranteed games.
- 0% refund – If all guaranteed games have been played.
Force Majeure Clause
In the event of unforeseen circumstances, such as natural disasters, government restrictions, or other force majeure events, that result in the cancellation of the tournament or prevent a team’s participation, the organizers reserve the right to determine the refund policy on a case-by-case basis.
Medical Withdrawls
In the case of a team withdrawal due to medical reasons, a written medical certificate or note from a licensed healthcare professional must be provided to be considered for a refund. The organizers will determine the refund amount based on the circumstances.
Non-Refundable Circumstances
For a tournament in progress (dates of the planned event), in the event of rain, snow, or acts of God, the tournament director can reduce game lengths or call matches at/past halftime as final scores. No refunds will be given if any of the following criteria are met:
- Late Withdrawl: A team withdraws after tournament brackets have been released.
- Forfeits: A team decides to forfeit a game, giving them less than the guaranteed minimum of played games.
- Incomplete Teams: If a team is unable to participate due to an insufficient number of players or other team-related issues, no refund will be issued.
- Disqualification: Any team that is disqualified from a tournament due to rule violations, unsportsmanlike conduct, or other breaches of rules forfeits their right to a refund.
- Refund Request Beyond Designated Period: Refund requests submitted within the designated 30-day window outlined in the tournament refund policy may not be honored. Adherence to deadlines is crucial for the efficient and fair administration of refund processes.
